Android for Exchange

Information Systems and Computing support for Android is limited to the stock version of Android 4.1 present on "Google Experience" devices such as the Nexus 7 and Galaxy Nexus. These devices generally behave in a predictable manner when connected to ISC's Exchange service. The same may not be true of devices running user interface overlays such as Sense or TouchWiz. The Exchange collaboration suite can be accessed from Android devices in two ways: Via ActiveSync, which will sync calendar, contacts, and email as well as some basic security policies, or via the web interface, which allows access to all of the above in addition to account preferences, tasks, and full search capabilities. In general, ActiveSync is best for user who want to keep tabs on their email and do general calendaring on the go. IMAP connectivity to Exchange for Android devices is not recommended.

Android 3.x and 4.x ("Honeycomb" and "Ice Cream Sandwich")

1. In the Apps menu, select Email. The Account setup application will open.
2. Under the Email field, enter the address in the username@exchange.upenn.edu format. Also fill in the password field. Note: The user's Exchange password may not be the same as their PennKey password.
3. Select Manual setup, rather than the Next option.
4. As an account type, select Exchange.
5. For username, enter KITE\username.
6. Set the Server as mail.exchange.upenn.edu
7. Select Next
8. The device will begin the initial connection to the Exchange server. A "Remote security administration" window will appear noting that security policies will be applied. These security policies are required for access to the Exchange server, and will enforce a 4-digit (or more) passcode, require encryption on capable devices, and allow for the remote wiping of lost or stolen devices. Select OK.
9. Most of the following settings should be left enabled unless there is a particular need to disable contacts or calendar sync. Otherwise, select Next.
10. The "Activate Device Administrator" screen will appear, noting some of the policies that could be applied. Note that not all of these capabilities will be enabled by ISC's Exchange service. Select Activate.
11. Select an appropriate name for the account, such as Exchange.
12. A dialog will appear notifying that before the initial sync can be completed, the device will require encryption. This will encrypt the device's disk, making it more difficult for data to be accessed if the device is lost or stolen. This should preferably be done when the device is plugged in and fully charged. The interval required for encryption will vary with how much is stored on the disk, and generally encryption should be done as soon as the device is activated. Select Encrypt to begin the process. The device will be unusable while encryption is ongoing. If the device is not ready to be encrypted, the encryption menu can be reached later via the Settings -> Security-> Encryption menu. Please note that Exchange mail syncing will not begin until the device has been encrypted.

Additional settings, such as notifications and signature, can be accessed via the Options, Settings menu in the lower right corner of the email app. Please see the Recommended Android Security Settings document for additional suggested settings.

Android 4.1.x ("Jelly Bean")

1. In the Apps menu, select Settings.
2. Under "Accounts", select Add Account and then choose Corporate. The Add an Exchange account application will open.
3. In the Email address field, enter the address in the username@exchange.upenn.edu format. Also fill in the password field. Note: The user's Exchange password may not be the same as their PennKey password.
4. Select Next. You may receive an error notification stating "Couldn't finish: Username or password incorrect." If so, tap the grayed-out area above the warning.
5. Change the Domain/Username to KITE\username. The username should be pre-populated, so adding the "'KITE'" should be all that is required.
6. Set the Server to be mail.exchange.upenn.edu
7. Click Next
